ROSTAC Professional Services collects personal, identity, tax, employment, financial and contact information to screen enquiries, provide agreed services, verify identity, communicate, invoice, keep required records, protect the practice and comply with legal or professional obligations.

Information we collect

Depending on the service, this may include contact and identity details; BIR or tax account identifiers; tax returns, TD4s and other income or claim documents; payment and engagement records; communications; filing approvals and submission evidence.

The public enquiry form deliberately excludes full BIR numbers, identity scans, tax documents, banking information and tax-system credentials. We do not request or store ttconnect, e-Tax or email passwords, or authentication codes.

How information is used and shared

Information is used only for enquiry screening, the agreed engagement, administration, security, legal or professional duties, and optional future reminders you request. It may be processed by carefully selected cloud, email, form or payment providers and disclosed to the Inland Revenue Division or another person where you authorise it or law requires it. We do not sell client information.

Storage, security and retention

Client files are stored in access-restricted business systems protected by authentication and administrative controls. Private upload links are limited to an accepted engagement and expire automatically; tax documents are not attached to the public enquiry form or ordinary notification emails. Tax and engagement records are normally retained for six years after the relevant relationship or transaction, or longer where law, professional advice, a dispute or an authority requires. Expired records are securely destroyed and destruction is logged.

Your choices and contact

You may ask to access or correct information, withdraw optional marketing or reminder consent, or raise a privacy concern using the business contact details published on this website. Some information cannot be deleted immediately where retention or legal duties apply. This notice may be updated; material changes will be communicated where appropriate.
